Copy docs to other groups
I had the same question recently , Boone responded that he would like to know better description about that feature , I have promised to Boone to explain better how to do that , to describe it very thoroughly , but unfortunately I had a lot of work last month .
I suggest to :
Instead to create copies I would create a templates – there’s one plugin in WP for posts , I don’t remember the name with which you can mark the post as a template and you can use it again and again , I think this would work the same with DOCs , mark the desired document as a template and in future to have the option to use it again in another GROUP.
To have the same copies , but to do not to have them associated is a must have because another group should destroy your hard work on it , so at least to have some icon which tells you that this document is associated , so warn them to don’t delete in case that that Group doesn’t need it anymore .
if you copy document or use the template of it then you get new identical Document (good for forms for example ) in every group you desire , there should be a option to use a template instead of blank document. When I will get a little bit of time I will describe it better., will study that plugin because they had resolve that very well. To copy HTML code every time you need it is a very bad solution on my opinion .
I guess I don’t see how a dedicated ‘copy’ UI would be better than simply selecting all in the first document, creating a new one, and then pasting the content of the old into the new. I’m having a hard time imagining the use case that would need to copy docs like this on a regular basis.
Templates, on the other hand, seem to me to be a more promising idea. But even there, it seems like copy-and-paste from static documents would be just as good.
Thanks for your answers. Sure, copy-paste from static pages works fine for single docs. To clarify my situation and needs: We use Buddypress as a learning plattform and we have 20 different groups working for half a year in their own projects but with similar questions. Their projects are documentet in a similar set of 7 structured documents which I would like to prepare before the course starts. This means 7×20 = 140 documents, every half year. I would be great to just copy a set of 7 files to all of the 20 groups.
… or even better would be a template group with all the settings including the documents which can be duplicated.
I’m a new user … and I’m loving this plugin. I’m posting here because of the discussion about copying docs to other groups. What I’d like is to be able to share some docs for more than one group. The same doc, but access it from multiple groups. One group could be the owner, the others would be affiliates if that was needed. Say I’m putting up a site for collaborative development of a product. We have engineering, marketing and other groups involved in product development. Each group has their own needs, but things like a product specification should be able to be shared. The owner group might open a document for viewing and comment, or they might allow another group to actually edit. Either way, they sharing would be beneficial and really needs to be on the same document so changes are communicated as they are made with the admin overhead of re-doing copy operations.
Also, I’m looking for an administrative hook to be able to control the size of the generated excerpt in the doc directories. I’m also looking for anything that does something with the parent-child relationship besides tell me that one is a parent and the other is a child. Basically, if I add a lot of segmented material into a doc group, I’d like to view it a little more in a hierarchical fashion. However, even without that stuff, the ability to do collaborative group documentation segmented into group realms is fantastic! Donation on the way.

The ability to associate Docs with multiple groups is on the roadmap. The infrastructure is already there in the code, I just need to solve a few UI issues. As for the excerpt length: I’m using WP’s core function `the_excerpt()` to display this excerpt. You can filter it with ‘the_excerpt’ or ‘get_the_excerpt’. I recommend that your function start something like this:
`global $post, $bp;
if ( $bp->bp_docs->post_type_name != $post->post_type )
That way you can filter just Doc excerpts, without affecting other parts of your WP installation.
The question of hierarchical display is pretty complicated. How do you imagine such a view looking?
@boonebgorges – Here’s some thoughts …
Basically I’m looking for a way to manage volume within a documentation folder. I like the idea of breaking things into smaller pieces so they make sense on a page or three – which also allows comments to be applied to specific sections of material. However, if I’m trying to write a major doc, like a requirements specification, then there are lots of little pieces that make that up. Seeing them all in the docs list becomes overwhelming.
Basically what I’m talking about now is a hierarchical list similar to what you see when you go to the WordPress dashboard for BP Docs and look at the list there, except we need the ability to control order of presentation of children. Just like on WP “all pages”. I think an option to “show children” or not would be helpful. These would not show excerpts, just titles. Without children it would show all top level parents and orphans. With children it would show the hierarchical list, indented and in ordered sequence for the children. If these were both done as simple HTML lists CSS could be used to style them as desired.
I think it would help a lot in terms of document management as volume builds up and it seems like most of the facilities to do this are probably there. Maybe its almost just another “view” option for the Group library.
Of course, there’s another item here. For reading it would be nice to serially go through a hierarchy in order, or move to previous and next when you are looking at a component.
